Terms and Conditions

By registering for and/or attending the Student Voice Conference 2025 (SVC 2025), you (the ‘Attendee’) agree to the following Terms, and to any other special conditions imposed or directions given by us.

Terms such as ‘you’, ‘the attendee’ and any other such term refer to any and all participants, including conference delegates, speakers, exhibitors, and sponsors.

Terms such as ‘We’, ‘event organisers’, ‘ACSV’, and any other such term refer to the Australian Council for Student Voice Ltd. (ACN 672 202 078), its staff, volunteers, partners (including Deakin University), and authorised delegates.

2.0     Registration & Payment

2.1 Registration

Registration for SVC 2025 can be completed online through the official event website.

All registrations must be submitted through the provided registration forms and are subject to approval. Any decision made by the event organisers is final.

All tickets are non-transferable and subject to the event's cancellation and refund policy.

Registration for those under 18 must be completed by a parent or guardian.

2.2 Payment Fees

To complete your registration, payment must be made at the time of registration. Accepted forms of payment include credit/debit card and other approved methods indicated on the event website. By submitting your registration, you authorise the event organisers to process the registration fee.

  • Domestic Transactions: We will absorb any transaction fees for payments made using Australian credit or debit cards.

  • Payments by Invoice: Attendees wishing to pay by invoice must contact ACSV by email to request this option. Payments made via invoice may incur an additional 5% transaction fee, reflecting the processing costs charged by our payment provider. You must contact us by email at least fourteen days prior to the close of ticket sales or the event (whichever occurs sooner).

  • All transaction fees must be paid in full before attendance at the event is confirmed.

2.3 Payment Deadlines

Full payment is required to confirm your registration. If payment is not received by the stated deadline, your registration may be automatically cancelled.

2.4 Use of Promo Codes

The ACSV may provide you with a promo code for use for this event. Any promo code must be applied at checkout to receive the discount. Offer is limited to one use per person, and may be withdrawn at any time without notice. Any offer or promo code offer cannot be combined with any other discounts, promotions, or group booking rates.

2.5 Multiple Attendees

The event website will not permit the use of multiple promo codes. Those with more than one attendee in their group should contact the ACSV for a custom payment link. Those wishing to pay for a group ticket by invoice will incur an additional fee, reflecting the cost charged by our payment provider. The ACSV will absorb any domestic card fees. You must contact us by email at least fourteen days prior to the close of ticket sales or the event (whichever occurs sooner).

2.5 Empower Tickets

We will offer an extra 10% off for individuals who identify as Aboriginal or Torres Strait Islander. You must contact us by email at least fourteen days prior to the close of ticket sales or the event (whichever occurs sooner).

3.0     Cancellation & Refund Policy

3.1 Cancellation by Attendee

If you need to cancel your registration, you must do so in writing by contacting the event organisers at events@studentvoice.org.au. The following cancellation terms will apply:

  • Cancellations made 30 days or more before the event will be eligible for a refund, minus a 10% admin fee reflecting the cost charged by our payment provider.

  • Cancellations made between 14 and 30 days before the event will be eligible for a 50% refund.

  • Cancellations made within 14 days of the event are non-refundable.

3.2 Cancellation by Event Organisers

In the unlikely event that SVC 2025 is cancelled by the event organisers, all registered attendees will be notified immediately. A full refund will be issued to all attendees in the case of a cancellation initiated by the organisers.

3.3 Delay, reschedule and events beyond our control

If the event is delayed, rescheduled, or cancelled due to circumstances beyond the control of the event organisers (e.g., natural disasters, pandemics, government restrictions), no refunds will be issued. Attendees will be given the opportunity to transfer their registration to a rescheduled date or receive a credit for future events.

4.0     Event Access & Conduct

4.1 Event Access

Access to SVC 2025 is limited to registered attendees only. Attendees must present their registration confirmation and any required identification to gain entry to the event.

4.2 Code of Conduct

Attendees are expected to conduct themselves in a professional and respectful manner during the event. Any form of harassment, discrimination, or inappropriate behaviour will not be tolerated and may result in immediate removal from the event without refund. By attending SVC 2025, you acknowledge that you have read, understood, and agreed to abide by the Code of Conduct.

In addition to the code of conduct, you must not:

  1. Damage the Venue or damage or remove any furniture, equipment, or materials in the Venue.

  2. Bring any hazardous materials to the Venue.

  3. Interfere with or alter the Venue’s electrical, lighting, or sound systems.

  4. Disrupt the normal course of business.

  5. Assign any rights under this Agreement.

  6. Use the ACSV, SVC, or Deakin logo unless authorised in writing by the appropriate organisation.

4.3 Child Safety

The ACSV is committed to ensuring a safe and supportive environment for all children and young people attending SVC 2025. The ACSV upholds the rights of children and young people to feel safe, respected, and included at all times. We adhere to all relevant child protection laws and child safe standards.

Attendees under the age of 18 must be accompanied by a responsible adult (such as a teacher, parent, or guardian) or have explicit written permission from their parent/guardian to attend independently. Schools and organisations registering student attendees are responsible for ensuring appropriate supervision and duty of care arrangements.

All attendees, speakers, and staff must adhere to the event Code of Conduct, which prohibits discrimination, bullying, harassment, and any behaviour that compromises child safety. Any breaches of this policy may result in removal from the event and further action if necessary.

Any child safety concerns should be reported to event staff immediately. Reports will be handled sensitively and in accordance with child protection policies. ACSV will have designated child safety officers available to support young attendees where needed.

4.3 Smoke, vape and tobacco use

In recognition of the public health evidence of the health and social costs and risks associated with smoking, Deakin University provides a smoke, vape and tobacco free environment for its staff, students and associates. By eliminating exposure to environmental tobacco smoke (ETS) and the aerosole from e-cigarettes, the University affirms its commitment to the health, safety and wellbeing of all staff, associates and students in its learning environment. The ACSV joins Deakin in this commitment, with SVC 2025 being a smoke- and vape-free event.

Smoking and use of e-cigarettes (commonly known as ‘vaping’), regardless of whether they contain nicotine is prohibited on all University property. Any individual found in violation of Deakin’s policy will be removed from the event, and may be liable for any costs incurred by either the ACSV or Deakin University.

4.4 Event Content

The event organisers reserve the right to change the event schedule, speakers, and content at any time. While we aim to provide an accurate and up-to-date program, the event organisers are not liable for any changes or cancellations of specific sessions, speakers, or other activities.

5.0     Data Protection & Privacy

5.1 Personal Information

By registering for SVC 2025, you agree to provide accurate and complete personal information, which will be stored securely in line with our Privacy Policy. We collect this data to facilitate event registration, communication, and post-event follow-up.

5.2 Use of Data

Your personal data may be used by the event organisers and sponsors for event-related communications, marketing, and future event notifications. We will not sell or rent your data to third parties. You may opt-out of receiving marketing emails at any time by using the unsubscribe link in our communications. Further information regarding the use of your data is available in our Privacy Policy, on our website: studentvoice.org.au/corporate/reporting.

5.3 Event Photography & Recording

As part of our advocacy, research, and outreach efforts, we use photos and videos in various materials, such as newsletters, reports, presentations, educational resources, promotional content, and on our website or social media platforms. These images help illustrate our work, celebrate achievements, and highlight the voices and stories of the people we support.

By attending SVC 2025, you consent to being photographed, filmed, and/or recorded during the event. Event photos, videos, and audio may be used for the following purposes:

•                Educational materials (e.g., reports, lesson plans, presentations)

•                ACSV’s website and digital platforms

•                Social media posts (e.g., Facebook, Instagram, LinkedIn)

•                Promotional materials (e.g., flyers, brochures, posters)

•                Media releases and public communications

By registering for SVC2025, you give permission for the ACSV to use the photos, videos, and audio that may be captured at the event. Your photos, videos, and audio will not be used for any purposes other than those specified within these terms. The ACSV will take reasonable steps to ensure that privacy is respected, in line with the ACSV’s Privacy Policy. You may withdraw your consent at any time by contacting privacy@studentvoice.org.au, and the ACSV will cease using the photo(s) in future publications. For the avoidance of doubt, by attending this event you consent as if you had completed the Photo Permissions form located on our website: studentvoice.org.au/corporate/reporting. If you do not wish to be recorded or photographed, please notify the event organisers in advance.

6.0     Liability & Disclaimer

By attending SVC 2025, you agree that the event organisers are not responsible for any loss, damage, injury, or illness incurred during the event. This includes, but is not limited to, accidents, personal property loss, and health-related issues. You are responsible for your own safety and wellbeing while attending the event.

Except for fair wear and tear, you will be liable for any damage to the Venue or any furniture or materials within the Venue during the Venue Booking period, including any costs incurred by us as a result of your actions.

You agree to indemnify and hold harmless the event organisers from and against any claims, losses and liabilities incurred as a result of your attendance at the event, including any claims for personal injury, property damage, or loss.

You indemnify the event organisers for any losses and liabilities incurred by us for infringement of a person’s intellectual property rights arising out of the your attendance.

The event organisers will not under any circumstances be liable for:

  1. any loss or damage to your personal property or equipment.

  2. any loss or damage as a result of the event organisers exercising our rights under this agreement.

  3. any indirect or consequential loss.

7.0     Sponsorship & Exhibitor Terms

7.1 Sponsorship & Exhibitor Registration

Sponsors and exhibitors must complete their registration and payment prior to the event. Additional terms for sponsors and exhibitors may be provided separately and must be agreed to before their participation is confirmed.

7.2 Sponsorship Cancellations

Sponsors and exhibitors who cancel their participation are subject to the following cancellation policy:

·       Cancellations made 30 days or more before the event will receive a full refund, minus a 10% administrative fee.

·       Cancellations made between 14 and 30 days before the event will receive a 50% refund.

·       Cancellations made within 14 days of the event will receive no refund.

8.0     Governing Law & Dispute Resolution

8.1 Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of the state of Victoria, Australia.

8.2 Dispute Resolution

Any disputes arising from these Terms of Service or the event shall first be addressed through mediation. If the dispute cannot be resolved through mediation, it shall be subject to arbitration or litigation in the Victorian Civil and Administrative Tribunal (VCAT).

9.0     Amendments to Terms

The event organisers reserve the right to amend or update these Terms of Service at any time. Attendees will be notified of any significant changes, and the updated terms will be posted on the event website.

By registering for SVC 2025, you acknowledge that you have read, understood, and agreed to these Terms of Service.
